1. Who we are and what this covers
TalentDecrypt Private Limited (“TalentDecrypt”, “we”, “us”) provides an online platform for skill assessments, proctoring, spoken-answer evaluation and AI interviews, together with this website. This policy explains how we handle personal data in both.
It covers two groups of people:
- Hiring organisations and their users: recruiters, proctors, educators and administrators who use the platform, and visitors to this website.
- Candidates: people who take a test, exam or interview that a hiring organisation has set up on the platform.
2. Our role: controller and processor
When a hiring organisation uses the platform to assess candidates, that organisation decides which candidates to invite, what to test, which proctoring features to switch on, and how to use the results. The hiring organisation is the controller of candidate data. TalentDecrypt is its processor: we handle candidate data on the organisation’s instructions and under our agreement with it.
If you are a candidate and have a question about why you were assessed, how your results are used, or you want to access or delete your data, please contact the organisation that invited you first. We will help them respond.
For data about our own customers’ users, website visitors and people who contact us, TalentDecrypt is the controller.
3. Information we collect
From hiring organisations and website visitors
- Account details: name, work email, organisation, role and login credentials.
- Content you create: tests, questions, invitations, evaluation notes and score adjustments.
- Demo and contact requests: the details you enter in our forms or send by email.
- Usage and device data: pages visited, browser type, IP address and error logs.
From candidates, on behalf of the hiring organisation
- Identity and contact details supplied by the organisation or entered by the candidate.
- Test answers: selected options, written answers, code and code runs, diagrams, and timestamps.
- Proctoring data, only where the organisation has enabled it: webcam snapshots or video, screen share, video from a linked phone camera, and records of the test window losing focus.
- Audio, only where the test needs it: live proctoring sessions, spoken-answer questions and AI interviews. Spoken answers and interviews are transcribed.
- Identity checks carried out by a proctor before a test, where the organisation uses them.
- Technical data needed to run the test: device, browser, network quality and error logs.
4. How we use information
- To deliver tests, exams and interviews, and to score and report on them.
- To record integrity evidence and flag events for the hiring organisation’s reviewers.
- To evaluate written and spoken answers and summarise results using AI models. These outputs are presented to the organisation’s reviewers, who can override any score.
- To provide support, keep the service secure, prevent abuse and fix problems.
- To reply to demo and contact requests, and to send service messages to account holders.
- To meet legal obligations and enforce our agreements.
We do not sell personal data. We do not make hiring decisions. Proctoring flags and AI scores are inputs for a person at the hiring organisation to review.
5. Legal bases
Where the law requires a legal basis, we rely on: performing our contract with the hiring organisation; our legitimate interests in running, securing and improving the service; consent, where it is asked for (for example camera and microphone permission); and compliance with legal obligations. For candidate data, the hiring organisation is responsible for establishing its own legal basis and for giving candidates any notice the law requires.
6. Retention
We keep candidate data for as long as the hiring organisation’s account is active and for the retention period agreed with that organisation, after which it is deleted or anonymised. Hiring organisations can ask us to delete candidate data sooner. Account and billing records are kept for as long as the law requires. Contact-form submissions are kept for as long as needed to handle the request.
7. Sharing and sub-processors
We share personal data only as needed to run the service:
- With the hiring organisation that invited the candidate, and the users it authorises.
- With service providers who act on our instructions, including cloud hosting, real-time video, speech-to-text, AI model providers, email delivery and error monitoring.
- With authorities, where the law requires it.
- With a successor entity in a merger or acquisition, subject to this policy.
Hiring organisations can ask us for the current list of sub-processors at info@talentdecrypt.com.
8. Security
Data travels between your device and our servers over HTTPS. Access to candidate data inside an organisation is controlled by roles set by that organisation’s administrators, and access by our own staff is limited to people who need it to support the service. No system is perfectly secure; if we become aware of a breach affecting your data, we will notify the affected organisation without undue delay. 9. Your rights
Depending on where you live, you may have the right to access, correct, delete or export your personal data, to object to or restrict certain processing, and to withdraw consent.
- Candidates: please send the request to the organisation that assessed you. If you write to us, we will pass your request to that organisation and assist it.
- Customers and website visitors: write to info@talentdecrypt.com.
You may also have the right to complain to your local data-protection authority.
10. International transfers
We and our service providers may process data in countries other than the one you live in. Where the law requires it, we use appropriate contractual safeguards for those transfers.
11. Cookies and analytics
This website uses a small number of cookies and similar technologies to measure traffic and understand which pages are useful. The assessment application uses browser storage to keep you signed in during a test. You can block cookies in your browser; the website will still work.
12. Children
The platform is intended for use by hiring organisations and educational institutions. Where an institution assesses students below the age of majority, that institution is responsible for obtaining any consent the law requires.
13. Changes to this policy
We may update this policy. We will post the new version here with a new “last updated” date, and tell account holders about material changes.
